What a good voicemail greeting does in 20 seconds

A caller who reaches voicemail has already been let down once — they wanted a person. The greeting decides whether they leave a useful message or hang up and call a competitor. Good greetings are short, between 15 and 25 seconds, and they answer three questions in order: did I reach the right place, when can I get a real answer, and what should I leave in my message. This voicemail greeting generator is built around templates that follow that order, so you only have to fill in your details.

Recording a greeting yourself sounds simple until you try: the dog barks, the line about opening hours comes out rushed, and you re-record twelve times. A studio voice reads the script evenly, at a slightly slower pace than conversation (0.95× by default) so that numbers and hours are easy to catch on a phone speaker. And because the voicemail greeting generator stores each paragraph separately, changing your hours next season means editing one line and paying for one line — the rest of the greeting stays identical.

Phone audio is not the same as podcast audio

Telephone networks carry a narrow slice of sound, roughly 300 to 3,400 Hz, sampled at 8,000 times per second. Most business phone systems therefore ask for greetings as 8 kHz, mono WAV files, either encoded as G.711 μ-law (also written u-law or PCMU) or as 16-bit linear PCM. Upload an MP3 or a 44.1 kHz WAV to an older PBX and you may get an error or a greeting that plays back too fast. That is why the voicemail greeting generator offers three downloads: an MP3 for modern apps and websites, an 8 kHz μ-law WAV, and an 8 kHz 16-bit PCM WAV. The phone versions are converted in your browser from the finished recording, so they cost nothing extra.

Voices that work on a phone line

Clarity beats character on the phone. The recommended voices — Captivating Female, Trustworthy Man, Compelling Lady, Gentle-voiced Man, Serene Woman, Magnetic-voiced Male, Calm Woman and Graceful Lady — have steady pitch and clear consonants that survive the narrow phone band. A British voice suits professional services and hospitality; a warm American voice suits clinics and local trades. For a bilingual line, render the English greeting, then add a second paragraph with a Spanish or other native voice; both are level-matched so the switch doesn't jump in volume.

If you also need on-hold messages or IVR menu prompts ("press one for sales"), write them in the same voicemail greeting generator — each prompt can be its own line, and the 8 kHz exports work the same way. For longer brand narration, use the full AI voice generator; for hold music, generate a calm instrumental with the background music generator.

Voicemail greeting generator checklist

  • Say the business name in the first five words so callers know they dialled correctly.
  • Give hours in the form people say them: "Monday to Friday, eight a.m. to five p.m.".
  • Write phone numbers as words in groups — "five five five, zero one nine eight" — so they are read slowly and clearly.
  • Tell callers what to leave: name, number, reason for calling and the best time to reach them.
  • Keep it under 25 seconds; long greetings make people hang up before the beep.
  • Update the holiday line a week before the holiday — it costs one credit to change one line.

Voicemail greeting generator FAQ

What audio format do phone systems need?

Most PBX and VoIP systems want an 8 kHz, mono WAV encoded as G.711 μ-law or 16-bit PCM. The voicemail greeting generator exports both, plus a standard MP3.

Can I put an AI greeting on my iPhone or Android voicemail?

Most mobile carriers only let you record a greeting by speaking into the phone. Play the downloaded MP3 from a computer speaker held close to the handset in a quiet room while the carrier is recording.

How much does a voicemail greeting cost?

A typical greeting is 200–350 characters, which is one credit. The 8 kHz phone exports are made in your browser at no extra cost, and new accounts include free credits.

Can I change the hours without redoing the whole greeting?

Yes. Find the sentence with your hours below the player, type the new times and press update. The voicemail greeting generator re-records that sentence alone, in the same voice and at the same level as the rest.

Can I make a bilingual greeting?

Yes. Write the second language in its own paragraph and choose a native voice for it. Voices are level-matched, so the switch sounds even.

Can I use the voicemail greeting generator for IVR menus and on-hold messages?

Yes. Write each prompt as its own line and export the 8 kHz WAV; most IVR platforms accept that format directly.

Is my greeting private?

Your renders are visible only in your account and downloads go through a private link tied to your login.
